If your business paid wages you must prepare each wage earner a W-2 and submit it with cover form W-3 to The Social Security Administration by February 28th. W-2 should be sent to each recipient by January 31st. Like 1099s the W-2s must be machine readable and legibly entered on the red inked forms.

Small employers can make your own W-2s FREE online and directly file them to the Social Security Administration. You register an account and make the W-2 online. Copies can be printer for employees, the state and your own records.
